Privacy Policy

This policy explains what personal data Evently processes when you use the platform, why we process it, and the rights you have over it. Where Evently is used by an organisation you belong to, that organisation is the data controller and Evently acts as processor on its instructions; this policy describes what we do on their behalf.

Data we process

• Account data — name, email address, phone number where supplied, and the role assigned to you by your organisation.
• Meeting data — meetings you book, attend, host or approve, including times, locations, topics, attendees and any notes or answers submitted through a booking form.
• Connected-service data — where you connect a calendar (Google or Microsoft) or a virtual-meeting provider, the access tokens needed to do so. These are encrypted at rest.
• Activity and security data — sign-in events, actions taken in the product, and the audit trail required to keep the platform secure and accountable.

How we use it

To operate the platform: authenticating you, scheduling and running meetings, sending the transactional messages the service depends on (invitations, approvals, reminders), and keeping an accurate audit record. We do not sell personal data, and we do not use your data to train models.

Sub-processors

We use a small number of infrastructure providers to run the service — cloud hosting and database, transactional email delivery, and error monitoring. A current list of sub-processors is available on request and is provided as part of the data processing agreement for enterprise customers.

Security

Data is encrypted in transit. Credentials for connected services — SSO configuration, calendar OAuth secrets and virtual-meeting provider credentials — are encrypted at rest with per-environment keys. Access to production systems is restricted, and administrative actions are written to a tamper-evident audit log.

Your rights

Subject to applicable law you may request access to your personal data, a copy of it in a portable format, correction of inaccurate data, and erasure. Evently supports data export and erasure requests directly in the product for administrators of an organisation.
